Overview

Fastest Times lets you find your club's fastest swimmer in every event, broken down by age group and gender, across any set of meets you choose. Create a Fastest Times group for a school term, a season, or a whole year — the app does all the calculating for you.

Before You Start

What You'll Need

• Club Admin access — only club administrators can create, edit, or export Fastest Times groups. Switch to your Club Admin role if you have more than one role.
• Completed meets with results — the meets you want to include should show as Completed with results recorded.
• An age-up date in mind — the date used to work out each swimmer's age group (explained in Step 5 below).

Creating a Fastest Times Group

Setting up a group is a short wizard — five quick screens, each with one decision. Tap a step to jump to its instructions:

You can move back and forth between the screens without losing your selections — nothing is saved until you tap Save on the final screen.

1Open Fastest Times and Tap "+ Times"

Tap the Results tab at the bottom of the screen, then tap FASTEST TIMES (labelled Best times for selected meets). Any groups already created for your club appear here, sorted by their most recent meet.

Tap the + Times button at the top right to start a new group.

4Set the Age-up Date

The age-up date determines the age group each swimmer competes in. A swimmer's age on this date is the age group used for all meets in this group.

Clubs vary in the date they use, so check what your club has done in the past. If you don't have an established convention, we suggest 31 December — it makes age groups match year of birth, so everyone born in the same calendar year competes together all season. Two other conventions some clubs use: the start of the season (swimmers stay in the age group they began in) or the end of the season (awards match each swimmer's age on presentation night).

Whatever date you choose, if you create more than one group for a season, use the same age-up date in each of them so swimmers stay in the same age group from Term 4 through Term 1, even if they have a birthday over summer.

Set the date, then tap Next.

5Select the Meets

Tick the meets to include in this Fastest Times list. Use the Search field to find a meet quickly. You must select at least one meet before continuing.

For a per-term list, tick only the meets held in that term. Tap Next.

6Exclude Events (Optional) and Save

All events swum at the selected meets are listed here (e.g. 25m Free, 25m Back, 50m Free). Tap any events you don't want included — excluded events show an 'x' next to them. Leave everything selected if you want all events included.

Tap Save. Your new Fastest Times group now appears in the Fastest Times list.

Viewing the Results

Tap a group card in the Fastest Times list to open it.

Filter by Stroke

Across the top you'll see stroke chips: Free, Back, Breast, Fly, and Medley. Tap a chip to show that stroke's events.

Filter by Gender

Below the stroke chips are three tabs:

• ALL — fastest times across all swimmers.
• FEMALE — fastest times among female swimmers.
• MALE — fastest times among male swimmers.

Read the Results

Each event (e.g. 25m Free, 50m Free) appears as its own card. Within a card, one row is shown for each age group that has a result:

• Overall — the single fastest time in the event, any age.
• 5 yrs & Under, 6 yrs, 7 yrs, … 18 yrs — the fastest time in each age group (based on the age-up date).
• Open — swimmers older than 18.

Each row shows the swimmer's name, the meet where the time was swum, the date, and the time.

Drill Down to Full Rankings

Tap any row to see the full ranked list for that age group and event — every swimmer's fastest time, ordered fastest to slowest (up to 100 places). Each swimmer appears once with their best time, and disqualified swims are marked DQ.

Exporting to a Spreadsheet

The export is the best option if you want to prepare an awards list on a computer.

1Open the Group and Tap "Export"

Open the Fastest Times group and tap the Export button at the top of the group details (visible to admins only).

Editing or Deleting a Group

Open the group and tap Edit (admins only). From the Edit screen you can change:

• Name
• Who can see these times (Only admins / Everyone)
• Age-up Date
• Meets — add or remove meets at any time
• Excluded Events

Tap Save to keep your changes, or Cancel to discard them (you'll be asked to confirm if you've made changes).

Deleting a Group

To delete a group, open the Edit screen, scroll down, and tap Delete Group. You'll be asked to confirm — deletion is permanent.

Tips for Awards Nights

What About "Most Improved"?

Fastest Times shows the fastest swimmer per event. To recognise the most improved swimmers, use Personal Best Points (Results → PERSONAL BEST POINTS), which awards points based on improvement rather than raw speed.

Troubleshooting

I can't see the "+ Times" button

• Make sure you're using your Club Admin role — regular members and race starters can't create Fastest Times groups
• Update to the latest version of the app

A swimmer is showing in the wrong age group

• Check the group's age-up date — a swimmer's age group is their age on that date, not their age on the day of the meet
• Check the swimmer's date of birth in their profile
• After correcting either, the list updates automatically

A meet isn't appearing in the results

• Open Edit → Meets and check that the meet is ticked
• Make sure the meet has results recorded

An event is missing from the list

• Check Edit → Excluded Events — the event may have been excluded
• Check you have the right stroke chip selected (e.g. the 25m Back events only show under the Back chip)

Members can't see the fastest times

• Check the group's visibility setting — if it's set to Only Admins, regular members won't see it. Change it to Everyone via Edit

The export email hasn't arrived

• Check your spam or junk folder
• Wait a few minutes and check again

Common Questions

Who can create Fastest Times groups?

Only club administrators. Regular members can view groups that admins have made visible to everyone.

How are age groups worked out?

By each swimmer's age on the group's age-up date. That age applies across all meets in the group, even meets held before or after the swimmer's birthday. Clubs use different age-up dates; if yours doesn't have a convention, we suggest 31 December. Age groups run from 5 yrs & Under through to 18 yrs, plus Open for older swimmers, and an Overall category for the fastest time at any age.

Can I create more than one Fastest Times group?

Yes — as many as you like. Most clubs create one group covering the whole season (Term 4 plus the following Term 1); some also create one per term. Each group is independent, with its own meets, age-up date, and settings.

Can the same meet be in more than one group?

Yes. For example, a Term 4 meet can appear in both the Term 4 group and the whole-of-season group.

Does a swimmer's slower swim hide their faster one?

No. The app always uses each swimmer's fastest time across all the meets in the group. In the drill-down rankings, each swimmer appears once with their best time.

Why does a swimmer's age group here differ from the meet results screen?

Meets group swimmers by their age on race night, while a Fastest Times group uses one fixed age-up date so each swimmer's times all count in a single age group for the season. A swimmer with a mid-season birthday can therefore appear in one age group on a meet's results screen and a different one here. Both are correct — the fixed date is what makes a season-long fastest-times list fair.

What happens to swimmers who have left the club?

Times swum while representing your club still count and appear in the list, even if the swimmer has since moved to another club.

Are disqualified swims counted?

Disqualified swims don't count towards fastest times, but they're shown marked DQ in the drill-down rankings so you have the full picture.

Can I export the results?

Yes — admins can tap Export in the group details to have a spreadsheet emailed to them. See Exporting to a Spreadsheet above.

Does creating or deleting a group change any results?

No. Fastest Times groups only read your existing meet results — creating, editing, or deleting a group never changes any recorded times.
