Using Meet Exchange
Move meet data in and out of Swim Club Connect — Hy-Tek files for Meet Manager, Team Manager, and Swim Central, or a plain spreadsheet if you don't use any of those. A separate web tool from the Swim Club Connect app.
Why this exists
Most clubs run their meets entirely inside the Swim Club Connect app and never need any of this. Meet Exchange exists for two narrower reasons:
- Getting results into Swim Central. Swimming Australia's official results and membership portal only accepts Hy-Tek-formatted files. If your swimmers hold Swimming Australia memberships and you want your club championship meet's results to count toward the lowest tier of officially sanctioned meets, those results need to reach Swim Central — and that means a Hy-Tek file, not a CSV or a PDF.
- Meets with clubs still on Meet Manager or Team Manager. A shrinking number of clubs run their own club nights directly on Hy-Tek software rather than Swim Club Connect. Hosting — or joining — a multi-club meet with one of them means exchanging Hy-Tek files, whichever side you're on.
Neither reason requires you to like, own, or learn Hy-Tek software yourself. Meet Exchange handles the file format on your side; Meet Manager and Team Manager stay entirely on the other system's side of the exchange.
Hy-Tek, Meet Manager, and Team Manager are trademarks of their respective owner. Mentioned here for compatibility only — Swim Club Connect isn't affiliated with or endorsed by Hy-Tek.

- 4 Choose a task the operations page lists what's available for that meet
This runs in a browser, not the app. Meet Exchange is a separate website (meet-exchange.swimclubconnect.com) — there's nothing to install. It's built and tested for Chrome on a desktop or laptop; other browsers or a phone screen aren't the intended way to use it.
What you can do here
Seven operations in total — six are live today, one is deferred and optional.
| Operation | Direction | Status |
|---|---|---|
.ev3 meet import | file → creates a meet | Live |
.ev3 meet export | meet → file | Live |
.hy3 nominations import | file → meet | Live |
| CSV swimmer & nomination import | spreadsheet → swimmers + meet | Live |
.hy3 nominations export | meet → file | Live |
.hy3 results export | meet → file | Live |
.hy3 results import | file → meet | Not yet available |
Which of these you'll actually use depends on your role in a given meet — hosting your own, hosting with other clubs, or joining someone else's. That's exactly what the scenarios below are organised around, rather than the operation names themselves.
Which guide do you need?
Pick whichever matches how this particular meet works, not your club in general — some clubs use more than one of these across a season.
Running your own meet, uploading to Swim Central
You create the meet, export it, receive nominations back from Swim Central, run it, and publish official results.
Read this guideHosting a meet with Meet Manager clubs
You host, invited clubs send their nominations back as files, and you export results back out to everyone at the end.
Read this guideJoining another club's meet in Meet Manager
Another club hosts in Meet Manager; you import their meet, your swimmers nominate, and you export your nominations back to them.

Importing swimmers & nominations by CSV
Bulk-create or update your club's swimmers from a spreadsheet, and optionally nominate them into a meet's events in the same upload. Mainly for onboarding a new club's roster, though it works just as well mid-season.

A club set up directly inside Swim Club Connect (rather than created by importing a Hy-Tek file) doesn't have a Hy-Tek team code yet — and both .hy3 export operations need one. The good news: this almost always sorts itself out automatically. The very first time your club is involved in a .hy3 nominations import — whether you run that import yourself, or another club hosts a meet and imports a file that includes your team — your team code gets set for you, silently, with nothing for you to do.
The only situation where this doesn't happen on its own is a brand-new club trying to export nominations or results as its very first-ever Hy-Tek action, before ever having been through an import. If that's you and an export won't run, get in touch — this one genuinely needs to be set manually on our end.

Still not sure where to start?
If your meet is straightforward — your club runs it, and results go to Swim Central — start with Running your own meet, uploading to Swim Central, even if a few steps don't apply to you. It covers the whole shape of the tool, and the other scenarios are variations on it.
Questions or something not working as expected? Get in touch — Meet Exchange is newer than the rest of Swim Club Connect, and we'd rather hear about a rough edge than have it go unreported.
