Joining Another Club's Meet in Meet Manager

Another club hosts in Meet Manager; you bring your swimmers in as a guest, entirely by file.

The whole journey

The reverse of hosting: here, someone else runs the meet in Meet Manager and you're the guest. One honest gap in this one, marked below — getting official results back isn't automated yet.

  • External the host club sends you their .ev3 meet file
  • Create from Hy-Tek file the file becomes your own copy of their meet, ready for your swimmers
  • App your swimmers nominate for events, same as any meet
  • Export nominations your club's entries, sent back to the host as a .hy3 file
  • External the host imports everyone's entries and runs the meet in Meet Manager
  • Not yet available getting official results back into Swim Club Connect — see Step 6 below

The host sends you their meet file

Entirely outside Swim Club Connect. Whoever's hosting exports a Hy-Tek .ev3 file from their Meet Manager and sends it to you, by whatever method they normally use to invite clubs.

Create your own copy of the meet

On the meet list, tap the + NEW MEET card at the top — "Create from Hy-Tek file (.ev3)." This is the same club admin passcode gate as anything else that changes club data.

The only flow that starts from this card instead of an existing meet.

Choose the .ev3 file the host sent you, then tap Create meet. A new meet — a copy of the host's event list, under your own club — appears in your meet list straight away.

This is a one-shot action, not a preview. Unlike importing nominations, there's no review step first — choosing the file and confirming creates the meet immediately. Double-check it's the right file before confirming.

Your swimmers nominate

Normal event nomination in the Swim Club Connect app — the meet now exists under your club, so your swimmers nominate exactly as they would for a meet you created yourself. A dedicated guide for this step doesn't exist yet; check the parents section of the guides index for when it does.

Got your squad in a spreadsheet instead, or a lot of swimmers to enter at once? On this same meet's operations page, under Bring data in, Import swimmers creates or updates your club's swimmers and nominates them into this meet's events from a CSV file in one upload — see Importing swimmers & nominations by CSV. It's not host-gated, so it works the same way here as a guest as it would if you were hosting.

Export your nominations to the host

Once nominations close, go to that meet's operations page and tap Export nominations — covered in full in the Swim Central guide. It's the same operation either way; the only difference here is where the file goes afterwards — to the host club, by whatever method they've asked for, not to Swim Central.

This exports your own club, not the host's. Whichever club you're signed in as is whose entries come out — that's always your own club here, since you're a guest, not the host.

The host runs the meet

Entirely on the host's side, in Meet Manager. They import every invited club's .hy3 file — yours included — and run the meet themselves. Nothing for you to do here.

Getting results back — not yet available

Being honest about this rather than dressing it up: there's currently no way to import the host's official results file back into Swim Club Connect. It's a genuine gap in the app today, not something you're missing a button for.

What to do instead, for now. Ask the host to share results with you directly — most Meet Manager hosts can export a plain results report (PDF, spreadsheet, or similar) alongside the official Hy-Tek file, separate from anything Swim Club Connect can read. Your swimmers' results for this particular meet just won't appear inside the app itself.

This is explicitly on our list to build — it's the one piece of Meet Exchange that's optional even for clubs who regularly join other clubs' meets, so it's been left until last. If this is something your club hits often, let us know — that's useful for prioritising it.

Shorter loop than hosting

Import their file once, export yours once — that's the whole thing on your end, with the host doing the heavy lifting of actually running the meet. Results are the one piece still missing.
