Your step-by-step guide to joining the swimming season

What You'll Accomplish

You'll register your swimmers for the club's current season and pay the membership fees online. By the end of this process, your swimmers will be officially registered and you'll have confirmation of payment.

💡 What is Club Registration?
Think of this as signing up your swimmers for the swimming season. You'll choose which swimmers to register, see the pricing automatically calculated for your family, and pay securely with your credit or debit card.

Before You Start

⚠️ What You'll Need:
• The Swim Club Connect app installed on your phone
• Your club membership or invitation code
• Your swimmers already added to your account
• A credit or debit card for payment

Make sure you have:

  • App access: You're logged into the Swim Club Connect app
  • Club membership: You've already joined your swimming club in the app
  • Swimmers added: Your children's swimming profiles are set up
  • Payment method: A credit/debit card ready for secure online payment

You'll need to add your swimmers to your account first. Go to the Swimmers section in the app and tap "Add Swimmer" to create their profiles with names, birth dates, and swimming details.

Step-by-Step Registration Process

Start Registration

Find and begin the registration process for the current season.

  1. Open the Swim Club Connect app
  2. Tap the MY CLUB tab at the bottom right of the screen
  3. Tap the MEMBER REGISTRATION section to start the registration process

Can't Find Registration?
If you don't see registration options, it might mean registration isn't open yet, or you may need to contact your club administrator. The registration periods are controlled by your club.

Choose Your Membership Package

Select the registration option that's right for your family.

  1. You'll see available membership packages (like "2025 Swimming Season")
  2. Each package shows:
    • Season name and description
    • Start and end dates
    • Pricing structure
  3. Tap on the package you want. In the example below there is only one package

Understanding Pricing

You might see one of these pricing structures:

Enter Your Contact Details

Provide your contact information for registration records and confirmations.

  1. Your name and email will likely be pre-filled from your account
  2. Add or update your phone number (optional but recommended)
  3. Double-check that your email address is correct - this is where confirmations will be sent
  4. Tap Next to continue

📧 Email is Important!
Make sure your email address is correct. You'll receive important registration confirmations, payment receipts, and season updates at this address.

Select Your Swimmers

Choose which of your swimmers you want to register for this season.

  1. You'll see all the swimmers in your account
  2. Tap to select each swimmer you want to register
  3. Selected swimmers will be highlighted in orange
  4. You can register as many or as few swimmers as you want
  5. Tap Next when you've selected everyone

Add Optional Items (If Available)

Browse and add team merchandise or equipment to your order.

  1. If your club offers team items, you'll see them listed here
  2. Items might include swimming caps, t-shirts, training equipment
  3. For each item you want:
    • Use the + and - buttons to set quantity
    • Add personalisation if offered (like names on caps)
    • See the price update automatically
  4. Skip items you don't want by leaving quantity at 0
  5. Tap Next to continue

What are Optional Items?
These are team merchandise or equipment your club offers. They're completely optional - you can register without buying anything extra. It's just convenient to get everything in one order.

Review Your Registration

Check all the details before proceeding to payment.

  1. Review the membership package you selected
  2. Confirm your registered swimmers are correct
  3. Check any optional items and personalization
  4. Review the payment breakdown
  5. Make sure your contact details are accurate
  6. Tap Proceed to Payment when everything looks right

Complete Payment

Pay securely using your credit or debit card.

  1. You'll be taken to a secure payment screen powered by Stripe
  2. Enter your card details:
    • Card number
    • Expiry date (MM/YY)
    • Security code (CVC)
    • Cardholder name
  3. The final amount will be calculated based on your card type
  4. Tap Pay Now to complete your registration
💳 About Payment Fees:
A small processing fee is added based on your card type. Australian cards typically have lower fees than international cards. The exact amount is shown before you confirm payment.

Registration Complete!

Congratulations! Your swimmers are now registered for the season.

  1. You'll see a confirmation screen with your registration details
  2. A confirmation email will be sent to your email address
  3. Your registration ID will be shown (save this for your records)
  4. You can now tap Done to return to the app

Your swimmers are now officially registered! You'll receive email confirmations and updates about the season. Check the app regularly for meet schedules, club news, and important announcements.

What Happens Next?

  • Confirmation Email: You'll receive a detailed confirmation within a few minutes
  • Payment Processing: Your payment is processed immediately and securely
  • Club Notification: Your club administrators are automatically notified of your registration
  • Season Updates: You'll start receiving notifications about meets, training, and club events
  • Item Collection: If you purchased team items, your club will arrange collection details

Common Questions

Can I register more swimmers later if I missed someone?
Yes! As long as registration is still open, you can go through the process again to register additional swimmers. You'll only pay for the new registrations.
What if my payment fails or is declined?
If payment fails, you'll be shown an error message with details. Common issues include insufficient funds, expired cards, or incorrect details. You can try again immediately with the same or different card.
Can I get a refund if my swimmer can't participate?
Refund policies vary by club. Contact your club administrator through the app (Settings → Help & Support) to discuss your situation. Many clubs are understanding about genuine circumstances.
I didn't receive a confirmation email. What should I do?
First, check your spam/junk folder. If it's not there, go to Settings → Registration History in the app to verify your registration was completed. Contact support if you still need help.
Can I see my registration details after completing it?
Yes! Go to Settings → Registration History to see all your registrations, payment details, and download receipts. This is also where you can contact support about any registration issues.
What if registration is closed when I try to sign up?
Registration periods are set by your club. If registration is closed, contact your club administrator to ask about late registration options. Some clubs may allow late registrations with approval.
