Setting Up Stripe Connect

Enable online payments for your swim club in 15 minutes

What You'll Accomplish

By the end of this guide, parents will be able to pay registration fees and purchase team merchandise directly through the app using their credit or debit cards. You'll have a secure payment system that automatically deposits money into your club's bank account.

💡 Why Stripe Connect?
Stripe Connect is like having a secure card reader built into your app. It handles all the complex security requirements and compliance rules, so you don't have to worry about storing credit card information or meeting banking regulations.

Before You Start

Make sure you have:

  • Club administrator access in the Swim Club Connect app
  • Your club's bank account details (BSB and account number)
  • Your club's ABN (Australian Business Number)
  • A government-issued ID (driver's license or passport)
  • 15 minutes of uninterrupted time - you'll need to complete this in one session
⚠️ Important: Only club treasurers or presidents should set this up. You'll be linking your club's bank account, so make sure you have the authority to do this.

Access Payment Settings

Open the Swim Club Connect app and navigate to your club's payment settings.

  1. Open the app, log in if you haven't already, and switch to 'Club Admin' role
  2. Tap the CLUB ADMIN tab at the bottom left of the screen
  3. Tap the Registrations & Club Store section

Start Stripe Connect Setup

You'll see a screen explaining why Stripe Connect is needed for online payments.

  1. Read the information about secure payment processing
  2. Tap the Set Up Stripe Connect button
  3. The app will open a secure Stripe website in your browser

What's happening: The app is securely connecting to Stripe's website. This is normal and expected - you haven't left the safety of the official Stripe system.

Create Your Stripe Account

You'll create a Stripe account specifically for your swim club's payments.

  1. Enter your mobile phone number
  2. Verify your login by entering the verification code Stripe sends you

Enter Your Club Information

Stripe needs to verify your club's identity to comply with Australian banking regulations.

  1. Business details:
    • Club name (exactly as it appears on your bank account)
    • Club address
    • ABN (Australian Business Number)
  2. Contact information:
    • Club phone number
    • Website (if you have one)
  3. Business description:
    • Select "Sports and Recreation" from the dropdown
    • Enter "Swimming club membership and merchandise" as your description

Add Your Personal Details

As the person setting up payments, Stripe needs to verify your identity.

  1. Enter your full name (as it appears on your government ID)
  2. Enter your date of birth
  3. Enter your home address
  4. Upload a photo of your driver's license or passport

Why is this needed? Australian banking laws require identity verification for anyone who can access business payment accounts. This protects your club from fraud and ensures compliance.

Connect Your Bank Account

This is where payments from parents will be deposited.

  1. Enter your club's BSB number
  2. Enter your club's account number
  3. Confirm the account holder name matches your club name
  4. Stripe will verify this account (usually takes 1-2 business days)

⚠️ Double-check these details! Incorrect bank details will delay payments to your club. If you're unsure, check with your bank or look at a recent bank statement.

Review and Submit

Check all your information before submitting for verification.

  1. Review all the information you've entered
  2. Make sure email addresses, phone numbers, and bank details are correct
  3. Click Agree and Submit
  4. You'll be redirected back to the Swim Club Connect app

What Happens Next

After submitting your application:

Immediate (0-5 minutes):
• You'll return to the app with a Pending Verification status
• You can continue setting up other parts of your club while waiting
Within 24-48 hours:
• Stripe will verify your information
• You'll receive an email confirmation
• Your payment status will change to Active
• Parents can now make payments through the app

Verification Complete - You're Ready!

When verification is complete, you'll be able to:

  • ✅ Accept registration fee payments from parents
  • ✅ Sell team merchandise through the app
  • ✅ Automatically receive money in your club's bank account
  • ✅ View payment reports and transaction history
  • ✅ Send automatic payment confirmation emails

Troubleshooting Common Issues

I submitted my application but the status still shows "Pending" after 3 days
Sometimes Stripe needs additional information for verification. Check the email address you used during setup for messages from Stripe. If you don't see any emails, contact support through the app.
I made a mistake in my bank account details
Contact support immediately through the app. Include your correct BSB and account number, and we'll help update your account. Don't try to create a new account.
The Stripe website won't load or keeps timing out
Try these steps:
  1. Close and reopen the app
  2. Make sure you have a strong internet connection
  3. Try again during off-peak hours (early morning or evening)
  4. If it still doesn't work, contact support
I don't have the club's ABN
You can find your club's ABN by:
  • Searching the ABN Lookup website
  • Checking previous tax returns or BAS statements
  • Asking your club's accountant or previous treasurer
If your club doesn't have an ABN, you may need to apply for one first.
